Bookings and payment

1. Clients are required to deposit 25%-30% of total payment at the outset. This is regarded as a confirmation of trip booking, acceptance of trip plans and conditions set herein.

2. A payment of 50% is due two months before the start of the trip.

3. The final balance is due at least a week before the start of the trip.

4. While payment methods and timing are not written in stone, complete payment is compulsory and Ornithopia is not compelled to conduct tours without this compliance fulfilled. Refunds cannot be made for earlier payments if client has not notified the company in good time (see cancellations).

5. While the first deposit is always important to confirm your trip, the second and third payments can be paid at once or on arrival as the situation dictates.

Liability

1. Risks and assumptions are always present in any undertaking and tour operation has a few of its own. While the company carries out tours in good faith, it cannot take responsibility for situations that may arise and are beyond its control. These include but not limited to change in government policy with fuel supply and distribution, changes in vehicle routes and rescheduled flight times. Other things include delays from unexpected weather conditions such as flooding, political and social unrest or failure of services supplied by other agencies.

2. Ornithopia reserves the right to subcontract other individuals or agents to carry out part or all of its services agreed.

3. Clients are responsible for arranging their own travel and medical insurance. It is preferable if the insurance is comprehensive so that travellers are covered for all or any contingency.

4. Visas are the responsibility of the visitor with a passport that is valid for at least 6 months. There are visas on arrival but these usually take time to process. 

5. As a precaution, it is always advisable to have a trip cancellation and lost baggage insurance cover before travelling.

Cancellations

While Ornithopia will try to accommodate the needs of its clients, cancelling is subject to the following charges:

1. An admin fee of $100.00 USD per person will be charged if cancellation comes between 2 -1 months prior to departure of a planned trip.

2. A fee of 50% of the tour price will be deducted if cancellation comes a month of 15 days prior to a planned trip. 

3. No refund will be made if cancellations are made under 15 days prior to departure of a trip.

Refund

An admin fee of 20% will be charged to cover VAT and other expenses if a deposit has been made.
